Administration Overview
Major Change: In the past we have granted users access to an entity, which gave the user the same type of access to any fiscal year for that entity. In an effort to tighten security, we now will grant access to an entity's fiscal year. There have been changes to the entities selection options to reflect these changes.
Also, a user will only be granted Update access for 9 months to any given fiscal year. The system will change their access to Read-only after this time. If the user needs update access restored, they will need to go through the access request process again.

Users are granted access to an entity's fiscal year. Read-only access to an entity's fiscal year will continue indefinitely. Update access is limited to a period of 9 months. After nine months, the system will change update access to read-only for that fiscal year. If the user needs the update access restored they will need to re-request update access.
To open a new fiscal year for an entity, a user will need to request update access for the current(existing)fiscal year and next fiscal year. The ITC or NWOCA will only add update access to the current year. When that user opens the new fiscal year, the system will add update access for that user to the newly opened fiscal year. Once the new fiscal year is opened, any additional users can be given their requested access to the new fiscal year.
It is highly recommended to give update access to ONLY one user to the current fiscal year, when preparing for the next fiscal year. Generally, the fiscal year is only opened once, so designating one user to open the new fiscal year seems best. We understand that there are exceptions to this recommendation; this is only a recommendation.
